Who is responsible
BAYNOCK SYSTEMS LTD. is the controller of customer and enquiry information. BAYNOCK SYSTEMS LTD. · Company number 17472082 · Registered in England and Wales. Registered office: 128 City Road, London, United Kingdom, EC1V 2NX. For privacy requests, email support@baynock.co.uk.
What we collect and why
We receive the details you enter in our forms or send by email: your name, email, delivery postcode, budget, PC preferences, messages and any order reference. We use them to answer your request and take steps towards an order or fulfil a contract. We need a reply address to answer an enquiry.
For an order, we also need your email address, delivery and payment records. We retain the version of the purchase terms accepted with the order, and Stripe uses your email address to send the payment receipt. We retain necessary transaction records to meet legal accounting obligations. We use relevant technical and correspondence records for our legitimate interests in maintaining a secure service, investigating problems and dealing with claims.
Who receives information
Our website and forms use Netlify. Our business email uses Google Workspace. DHL receives delivery details needed to deliver an order. Stripe processes card payments through its secure checkout. Supabase stores our order, delivery and stock records. Card details are entered on Stripe and are not stored in our staff stock sheet. Professional advisers or authorities may receive information where necessary.
Resend sends our order notifications and customer confirmations. We use Trustpilot to request voluntary feedback about purchases. Trustpilot receives your name, email address, order reference and the purchase details included in your customer confirmation; we do not send it your delivery address or payment identifiers. We use feedback for our legitimate interests in understanding and improving our service. You can decline the invitation or contact us to object to this use of your information.
The site loads its 3D display software from jsDelivr, which receives network information such as your IP address when your browser requests those files. Our service providers may process information outside the UK. Contact us for information about the relevant processing locations and transfer arrangements.
How long we keep it
We keep enquiries for as long as needed to resolve them and manage any follow-up. Order and service records are retained according to applicable accounting requirements, warranty handling and the need to establish or defend claims. We review records and remove information when it is no longer needed.
Your choices and rights
You may ask to access or correct your information, or request deletion, restriction or a portable copy where applicable.
You can object to processing based on legitimate interests. Contact support@baynock.co.uk to exercise these rights. You can complain to the Information Commissioner’s Office.
Cookies and marketing
The current website code does not set advertising or analytics cookies, and it does not store enquiry contents in your browser. The cookie panel can remember a necessary-only preference in this browser for up to 180 days, without sending it to us. You can remove it through Cookie settings. Our forms are for responding to your request; submitting one does not sign you up for marketing. External social links open the relevant platform, whose own privacy rules apply. See our cookie notice for necessary storage and what happens when you proceed to Stripe.
